Douglas County Implements QtracVR Virtual Queuing System to Expedite DMV Customer Service

Colorado’s Douglas County recently installed the QtracVR virtual queuing system by Lavi Industries in three separate motor vehicle and driver’s license offices. The system will be used to expedite service and decrease wait times for customers visiting these locations.

Lavi Industries, a leading provider of queue management solutions, was selected by Douglas County, CO to provide its QtracVR virtual queuing system to three separate motor vehicle and driver’s license offices. The County recently invited public officials and others to a live demonstration of the system where features such as self-check in, mobile wireless ticketing, and digital media management were on display.

Virtual queuing has come to the forefront in recent years as businesses and government agencies strive to improve the waiting line experience for the people they serve. Virtual queuing eliminates the need for a physical waiting line, instead relying on technology to place people into queues and call them forward when they are at the ‘front of the line.’

“DMVs have had a notorious reputation for long, cumbersome waiting lines,” remarks Perry Kuklin, Director of Marketing for Lavi Industries. “QtracVR enhances the customer experience by reducing perceived and actual wait times through increased service efficiency and effective digital signage,” he explains.

Lavi’s QtracVR system is installed in three motor vehicle and one driver’s license offices in Castle Rock, Park Meadows Center, and Highlands Ranch. County officials held a live demonstration of the system today to showcase the benefits and explain how the system will deliver a strong ROI.

“This new queuing system is an efficiency tool – both for the customers we serve and for the employees dedicated to providing excellent service in all County Motor Vehicle and Driver’s License offices, “ said Jack Arrowsmith, Douglas County Clerk and Recorder.

“The system allows each customer to first disclose the type of service they need, allowing us to route them to the subject-specific agent best qualified to service their need,” continued Arrowsmith. “For example, a customer with an out-of-state title seeking a Colorado title requires an agent with more extensive training, while a simple renewal of a Colorado title can be routed to agents who most easily handle this type of transaction. This makes each office more efficient during high volume times,” he concluded.

The virtual queuing system from Lavi Industries features a self-service kiosk for customer check-ins. The kiosk captures necessary information to route customers to an appropriate “virtual waiting line” based on the customer’s transactional needs. Customers are provided a ticket with a unique call number and screens placed in the waiting area display digital media and provide visual and audible queuing prompts to direct customers to the appropriate station for service.

The system also includes a mobile hand-held check-in device that allows greeters to dispense tickets to customers using wireless ticket dispensing units.

Additionally, Lavi’s Qtrac Media Manager, a centralized media management control system that is operated from the Clerk and Recorder’s office in Castle Rock, CO has been integrated into the Qtrac VR queuing system. The system allows centralization of the content displayed across seven monitors. This content, integrated into the queuing displays, provides an opportunity for the County to promote information and entertainment to patrons as they wait for service.

QtracVR meets another important requirement of Douglas County in relation to its infrastructure. Due to restrictions by the regulating authority for Motor Vehicle and Driver’s License offices, the County required a customer queuing system that would run independent of existing hardware platforms. The system from Lavi Industries meets this requirement with options for installation as a standalone network or Saas-based system.
